 1. Purpose of this Notice.

This Privacy Notice explains how I collect, use, and store your personal information in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. It applies to all clients, prospective clients, and visitors to my website or clinic. 

2. Who I Am 

Alison Dobson of Alison Dobson Wellness is a nutritional therapist registered with The Association of Naturopathic Practitioners (ANP) and The General Naturopathic Council (GNC). I am the data controller for the personal information I collect and process in the course of providing the professional services. 

3. Information 

I Collect to provide safe and effective care, I may collect the following types of information: • Personal details (name, address, contact details, date of birth, GP contact) • Health and medical history, symptoms, and relevant test results • Information about diet, lifestyle, medication, supplements, and goals • Consultation notes and correspondence • Payment details (if applicable) 

4. Lawful Basis for Processing 

I process your personal data under the following lawful bases: • Contract: to provide you with agreed naturopathic services. • Legitimate interests: to maintain records and manage my business safely and professionally. Consent: for processing sensitive (special category) health information. You may withdraw your consent at any time. • Legal obligation: to comply with legal or insurance record-keeping requirements. Special categories of data included race, ethnic origin, politics, religion, trade union membership, genetics, biometrics (where used for ID purposes), health and sexual orientation. I may hold special category data for the following purposes: • Provision of direct healthcare I process your data under the following articles of General Data Protection Regulation:

Article 6(1)(b) – Contract: to provide professional services requested by you • Article 9(2)(h) – Provision of healthcare: processing necessary for health and treatment purposes 

5. How I Use Your Information 

Your information is used to: 

• Provide safe and effective care 

• Assess suitability of personalised health advice 

• Communicate with you about your care 

• Keep accurate clinical records 

• Process payments and manage bookings 

• Meet professional, insurance, and legal obligations 

• Marketing and newsletters subject to your consent 

I undertake at all times to protect your personal data, including any health and contact details, in a manner which is consistent with our duty of professional confidence and the requirements of the General Data Protection Regulation (GDPR) concerning data protection. I will also take reasonable security measures to protect your personal data storage. I may use your personal data where there is an overriding public interest in using the information e.g. in order to safeguard an individual, or to prevent a serious crime. Your data will never be sold or used for marketing without your explicit consent. Your data may be shared with other parties for the following reasons if you have consented to in the GDPR consent form: 

• To obtain functional tests (such as blood or urine). 

• For booking and administrative purposes. 

• To courier and logistics providers who ship products to you. 

• To companies supplying supplements or other products directly to you on my recommendation. 

6. How Your Information Is Stored 

All personal information is stored securely in: • Password-protected devices

• Encrypted clinical software 

• Secure cloud storage 

• Locked filing cabinets (for paper records) accessible only to me.

7. Online Consultations and Electronic Communication 

Online consultations are conducted using reputable platforms with appropriate security measures in place. Although all reasonable steps are taken to protect your information, no internet-based communication system can be guaranteed to be completely secure. If you choose to communicate via email, please be aware that standard email is not fully encrypted. 

8. How Long Records Are Kept 

In line with professional standards and insurance requirements, clinical records are retained for: 

• 7 years from the date of last consultation • For children: until age 25 (or 26 if aged 17 at end of treatment) 

After this period, records are securely deleted or destroyed. In certain cases, such as where records may be relevant to an insurance claim or legal proceeding, they may be retained for longer.

9. Data Regulations for Minors 

Where the client is under the age of 18, consent from a parent or legal guardian is required before treatment can begin. The child remains the data subject under data protection law. Both parents may have the right to access the child’s records unless there is a legal restriction or court order in place that limits this access. 

10. Sharing Your Information I will not share your information with third parties unless: 

• You have given explicit consent (for example, to share with your GP or another healthcare provider); 

• Disclosure is required by law (for example, in cases of serious risk of harm); • It is necessary for accounting or administrative purposes (e.g., my professional indemnity insurer or accountant, who are GDPR-compliant

11. Your Rights 

Under UK GDPR, you have the right to: 

• Access the personal data I hold about you. 

• Request to move, copy or transfer your data to a third party. 

• Request correction of inaccurate information 

• Request deletion of your data (where legally permissible) 

• Restrict or object to certain forms of processing 

• Withdraw consent at any time 

• Lodge a complaint with the Information Commissioner’s Office (ICO): www.ico.org.uk 

Please note that clinical records cannot be deleted where retention is required by law, insurance, or professional standards.

12. Communication and Updates 

I may occasionally update this Privacy Notice to reflect legal or procedural changes. The latest version will always be available on request/at www.alisondobsonwellness.co.uk 

13. Reporting breaches 

Any breach of this policy or of data protection laws will be reported as soon as practically possible. This means as soon as we become aware of a breach. [I/we] have a legal obligation to report any data breaches to UK Supervisory authority which is the Information Commissioners Officer within 72 hours. Terms and Conditions

 

In your first session we will discuss and agree the support you require from your Nutritional Therapy, working together we will review the progress and aims as we go along. At this time you are required to sign the bottom of the page to agree to our terms and conditions. Please speak with us if there is anything you would like clarified.

PAYMENT

Payment is required in advance of all appointments.

Payments can be made by card via the online payment system. A debit or credit card number will be requested at the time of booking when booking online.

If your therapist creates the booking/package for you, an invoice will be sent to you that is required to be paid in advance.

Instalment payment plans are available for the Foundation and Support and Thrive packages only.

CANCELLATIONS AND NO SHOWS

Any sessions that are missed or cancelled with less than 24hrs notice will incur a 100% cancellation charge. Non-attendance of an appointment (no-shows) will also be charged in full.

If you do need to cancel an appointment at short notice, please let your Nutritional Therapist know at your earliest convenience so we can reschedule your appointment. You can do this by emailing: alisondobsonwellness@outlook.com.

It is your responsibility to have a working internet connection for consultations via Video-link. Full consultation charges will apply for scheduled sessions that are unable to connect. There are no additional charges for phone consultations to a UK landline or mobile number.

A 15 minute wait time frame will be applied to all sessions. Once 15 minutes of your appointment has elapsed, and you haven't arrived at your session, the session will be ended and will be classed a 'no show'.

If you 'no-show' for your appointment you will be sent another invite to book a new session which will be deducted from your package. Refunds and reschedule options will not be offered for no-shows.

CONFIDENTIALITY

The confidentiality is treated seriously at Alison Dobson Wellness. There are however, some limits and exceptions to confidentiality.

If your Nutritional Therapist has serious concerns about your safety or the safety of another person, our confidentiality policy may be adjusted.At your initial consultation you will be asked to provide your GP's contact details, as someone we may contact. Alison Dobson Wellness keeps a record of your name, contact details and dates and times of

your appointments. Your Nutritional Therapist is required to keep brief notes about the focus of your work, which are kept securely. Any reports produced by Alison Dobson Wellness to evaluate the service contain anonymised date and will not contain any identifiable information of clients. Please refer to our Privacy Policy on our website for more details.

COMPLAINTS AND CONCERNS

If you have any concerns or problems with the service provided, which you have not been able to resolve with your Nutritional Therapist, you may raise this by emailing:

WORKING WITH MULTIPLE CONSULTANTS

Your Nutritional Therapist may suggest you see other wellness professionals to support your goals.

Information about your symptoms and condition will be discussed between team members in a secure area so that we can provide you with a coordinated treatment plan. Your Nutritional Therapist will ask you for your informed consent to share information with the team and ask if there is anything that you want to remain confidential.

SCOPE OF PRACTICE

Alison Dobson Wellness practice in accordance with the Association of Naturopathic Practitioners (ANP) ethical framework.

Nutritional Therapy is the application of science nutrition in the promotion of health, peak performance and individual care. Nutritional Therapy practitioners use a wide range of tools to assess and identify potential nutritional imbalances and understand how these may contribute to an individual's symptoms and health concerns. This approach allows us to work with individuals to address nutritional balance and help support the body towards maintaining health.

Nutritional Therapy is recognised as a complementary medicine and is relevant for individuals with chronic conditions, as well as those looking for support to enhance their health and wellbeing.

Practitioners consider each individual to be unique and recommend personalised nutrition and lifestyle programmes rather than a 'one size fits all' approach.

We will never recommend nutrition as a replacement for medical advice and always refer any client with 'red flag' symptoms to a medical professional. We will also frequently work alongside a medical professional and communicate with other healthcare professionals involved in a client's care to explain any nutritional therapy programme that has been provided.

WE REQUEST THAT OUR CLIENTS NOTE THE FOLLOWING

The degree of benefit obtainable from nutritional therapy may vary between clients with similar health problems and following a similar nutritional therapy programme.

Nutritional advice will be tailored to support health conditions and/or health concerns identified and agreed between both parties.

Nutritional therapists are not permitted to diagnose, or claim to treat, medical conditions.

Nutritional advice is not a substitute for professional medical advice and/or treatment.

Your Nutritional Therapist may recommend food supplements and/or functional testing as part of your nutritional therapy programme and may receive a commission on these products and services.

This document only covers the practice of nutritional therapy within this consultation, and your Nutritional Therapist will make it clear if she/he intends to step outside this boundary by referring you

THE CLIENT UNDERSTANDS AND AGREES TO THE FOLLOWING

I am responsible for contacting my GP about any health concerns.

I give permission for you to contact my GP regarding any agreed aspects of my case.

If I am receiving treatment from my GP, or any other medical provider, I should tell him/her about any nutritional strategy provided by my Nutritional Therapist. This is necessary because of any potential reaction between medications and the nutritional programme.

It is important that I tell my Nutritional Therapist about any medical diagnosis, medication, herbal medicine, or food supplements, I am taking as this may affect the nutritional programme.

If I am unclear about the agreed nutritional therapy programme/food supplement doses/time period, I should contact my Nutritional Therapist promptly for clarification.

I must contact my Nutritional Therapist should I wish to continue any specified supplement programme for longer than the original agreed period, to avoid any potential adverse reactions.

Recording consultations using any form of electronic media is not permitted with the written consent of both me and my Nutritional Therapist.
